DocChaser ("DocChaser", "we", "us") is provided by [legal entity name - pending incorporation], of [registered address]. These Terms govern access to and use of the DocChaser platform by UK accounting and bookkeeping firms ("you", "your firm").
DocChaser automates chasing your firm's clients for outstanding documents ahead of tax and compliance deadlines. It drafts and sends reminder messages by email and SMS, escalates tone as deadlines approach, classifies client replies, matches uploaded attachments to your checklist items, and queues anything uncertain for a member of your firm to review. You remain responsible for the accuracy of the engagements, deadlines, and checklists you configure.
DocChaser is intended for use by legitimate UK accounting, bookkeeping, and tax practices acting on behalf of their own clients. You must provide accurate information when signing up, keep your login credentials secure, and are responsible for activity under your firm's account, including actions taken by any team member you invite.
Paid plans are billed via Stripe on the cycle and at the price shown at checkout and on our pricing page. New accounts receive a 14-day free trial; no card is charged until the trial ends. You can cancel at any time from Billing; cancelling stops future charges but does not refund amounts already billed, except where required by law.
When you add a client, upload a document, or configure a chase, you are giving DocChaser personal data about a third party (your client) for the purpose of chasing them on your behalf. As between you and DocChaser, you are the data controller and DocChaser acts as your data processor for that data. You are responsible for having a lawful basis to share your clients' information with us and for your own obligations to those clients under data protection law. DocChaser is provided on an "as available" basis. Features may change as the product develops, and we'll make reasonable efforts to notify you of changes that materially affect how you use the service.
DocChaser drafts and sends messages using automated tools, including AI-assisted drafting and reply classification. You remain responsible for reviewing anything DocChaser flags for your attention and for the ultimate accuracy of communications sent to your clients. To the fullest extent permitted by law, DocChaser is not liable for indirect or consequential losses arising from use of the platform. Nothing in these Terms limits liability for fraud, or for death or personal injury caused by negligence, or any other liability that cannot lawfully be excluded.
You may stop using DocChaser and cancel your subscription at any time. We may suspend or terminate an account for material breach of these Terms, including a violation of the acceptable use section above.
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.
